This page has independent tips for owners of Xerox printers and multifunction devices and is not connected to Xerox. Many Xerox machines in offices are managed by an IT team or under a service agreement, so check that first before changing settings or ordering parts. For official drivers, manuals and fault code details, use Xerox's official support site.

Common problems with Xerox printers

Choosing the right driver

Xerox offers model-specific drivers and, for many office models, a Global Print Driver, each typically available in PCL and PostScript versions. If pages print garbled or features are missing, try the other driver type for your model from Xerox's support site.

Drum cartridge or imaging unit messages

Many Xerox laser printers use a drum cartridge or imaging unit separate from the toner, with its own lifespan. When the message names the drum or imaging unit, replacing the toner alone won't clear it.

Toner still reads low after replacing

If a new toner cartridge still reads low or empty, reseat it firmly, check it is the correct part number for your model and region, and restart the printer.

Printer offline after an IP address change

Office printers that get their address from the router can change IP address after a restart, leaving computers pointing at the old one. Print a configuration report to see the current address, update the printer port on your computers, and consider reserving the address in your router.

Scan to network folder stops working

Scanning to a shared folder on a PC can stop after a Windows password change or when the PC's sharing settings change. Check the saved user name and password in the scan destination, that the folder is still shared, and that the device firmware is current.

Paper jams in trays and the fuser area

Most Xerox devices show an animation on the control panel pointing to the jam location. Follow it, pull paper out slowly in the direction it travels, and avoid touching the fuser area, which gets very hot.

Tips for Xerox owners

  • Type the printer's IP address into a browser to open its Embedded Web Server, where you can check supplies, settings and firmware version.
  • Print a configuration report from the control panel to see the IP address, installed options and firmware version in one place.
  • If the device is leased or under a service agreement, supplies and repairs may already be covered, so check the agreement before buying parts.
  • Write down any numeric fault code exactly as shown before searching Xerox's official support site, as codes are model-specific.

Common questions

Is this site part of Xerox?

No. This is an independent help site with no connection to Xerox. For official drivers, manuals and service, use Xerox's official support site.

Should I use the PCL or PostScript driver?

PCL drivers are a good default for everyday office printing on Windows. PostScript is often better for graphics, design software and Macs. If one gives wrong output, try the other.

Where can I find what a fault code means?

Xerox devices often show a numeric fault code. Note it exactly and look it up in your model's user guide or on Xerox's official support site.
