You might see

  • Jobs go to Microsoft Print to PDF or an old printer
  • The default changes whenever you print to a different printer
  • Set as default is missing in Windows settings
  • One app always picks a different printer

Usually caused by

  • Windows set to manage the default printer automatically
  • macOS set to use the last printer used
  • Apps remembering their own last-used printer
  • Old or duplicate printers still installed

Step-by-step fix

Work through the steps in order and check each one off. Most people are printing again before the last step.

Windows 11 / 10

0 of 4 steps tried

  1. Turn off automatic default management

Go to Settings > Bluetooth & devices > Printers & scanners and, under the printer preferences, turn off Let Windows manage my default printer. On Windows 10 it's a checkbox at Settings > Devices > Printers & scanners. When it's on, Windows makes the printer you used most recently the default.

  2. Set your default printer

Select the printer you want and choose Set as default. On Windows 10, click the printer, then Manage, then Set as default. The option only appears once automatic management is off.

  3. Remove printers you don't use

Select old printers, duplicates or entries with Copy 1 in the name and choose Remove, so they can't be picked by mistake. Keep Microsoft Print to PDF if you use it to save files as PDF.

  4. Check the app's own choice

Some programs, including office suites and web browsers, remember the last printer used in that program. Pick the right printer once in the print window and print; the program should remember it next time.

Common questions

Why is Set as default missing in Windows 11?

It's hidden while Let Windows manage my default printer is turned on. Turn that off and the button appears on each printer's page.

Why does Windows keep choosing Microsoft Print to PDF?

With automatic management on, saving one document as a PDF makes Microsoft Print to PDF the most recently used printer, so it becomes the default. Turn automatic management off and set your real printer as default.
