Fax won't send or keeps failing
Faxes fail, hang up partway or never connect? Check the dial tone, the cord in the LINE port, the dialing prefix, fax speed and the receiving machine.
Quick fix
Plug an ordinary phone into the same wall jack and check for a dial tone. Then connect the printer's phone cord from the wall to the port marked LINE, not EXT or TEL, and run the fax test from the printer's fax menu if it has one. If the line checks out, lower the fax speed and try again.
Didn’t work? Go to the full stepsYou might see
- The printer says there's no dial tone or the line isn't connected
- The fax dials but reports busy, no answer or a communication error
- Sending stops partway through a multipage fax
- Faxes to one number fail while others go through
Usually caused by
- Cord in the wrong port, a faulty cord, or no dial tone on the line
- A missing prefix for an outside line or a long-distance call
- Fax speed too high for the line quality
- A DSL line without a filter, or a digital phone service
- A problem at the receiving fax machine
Step-by-step fix
Work through the steps in order and check each one off. Most people are printing again before the last step.

-
Check for a dial tone
Unplug the printer's phone cord from the wall and plug in an ordinary corded phone. If you hear no dial tone, the problem is the wall jack or the phone service rather than the printer; try another jack, or report the fault to your phone provider through its website or account.
-
Use the LINE port and a good cord
The cord from the wall jack must go into the printer's port marked LINE or shown with a wall-jack symbol. The other port, often marked EXT or TEL, is only for an extension phone or answering machine. Use the cord that came with the printer if you have it, and avoid long cords and splitters while testing.
-
Run the fax test
Many printers have a fax test or line check in the fax setup, tools or reports menu. It checks the cord, the port and the dial tone, and prints a report that says what failed.
-
Add a DSL filter
If you have DSL internet on the same phone line, plug a DSL filter into the wall jack and connect the printer to the filter's phone socket. Without one, the internet signal interferes with fax tones.
-
Set the dialing prefix and pauses
If your office dials 9 or another code for an outside line, add it before the number or set it as the dialing prefix in the fax settings. Add a pause after it, usually with a pause or redial button or a comma, so the phone system has time to connect. Include the country or area code for long-distance faxes.
-
Set up the fax header
Enter your name, fax number, date and time in the fax setup menu. Some printers won't send until these are set, and in some countries, including the US, faxes are legally required to identify the sender.
-
Lower the speed and check ECM
In the advanced fax settings, set the fax or modem speed to a lower value such as 14400 or 9600 bps, sometimes labelled medium or slow. Make sure error correction mode (ECM) is on, as it resends damaged parts of a page on noisy lines.
-
Check the receiving end
Dial the fax number from an ordinary phone; you should hear fax tones, not a person or voicemail. Then send a one-page fax to a different fax number you know works. If that goes through, the problem is at the original recipient, such as a busy line, no paper or a full memory.
-
Read the fax report
Print the fax log or transmission report from the reports menu. It lists each attempt with a result or error code, and your manual or the maker's official support site explains what the codes mean for your model.
Did this fix it?
Good. To confirm everything is healthy, print a test page. It takes a minute and shows any quality problems early.

Common questions
Can I fax without a landline?
Not with the printer's built-in fax, unless your provider's phone adapter supports fax. Online fax services send and receive faxes over the internet instead, through a website, app or email.
Why does my fax fail partway through?
Line noise or a speed too high for the line is the usual cause. Lower the fax speed, keep ECM on, and send long documents in smaller batches.
Do I need a separate phone line for a fax?
No, a fax can share a voice line. Sending works best when nobody else is using the line and call waiting is off.
